Preparing Documents for Digital Notarization: A Step by Step Guide

Preparing Documents for Digital Notarization: A St...

Most notary sessions that go wrong were in trouble before the notary ever logged on. A missing page, an expired identification document, an absent witness, or uncertainty about the required certificate can stop the process. Getting ready isn’t hard. You just need to know what to check. For an eligible document, online notarization moves the notarial act into a live digital environment. The signer uploads the file, completes identity verification, meets a commissioned notary by video, and receives the completed document. Each step works better when the signer has already checked the document and the receiving party’s requirements. Step 1: Confirm the Document Requirements Contact the organization that requested the document. Ask whether it accepts remote notarization, whether it requires a particular form, and how it wants the finished file delivered. If the document will be used by a court or government office, follow that office’s current instructions. Don’t ask the notary which document or certificate you need. They can’t choose for you. A notary must remain impartial and cannot act as your attorney. When the recipient cannot clarify a legal requirement, consult a qualified professional before the session. Step 2: Review Every Page Open the final version and read the whole thing, not just the signature page. Check names, dates, addresses, page numbers, signature fields, and attachments. Remove accidental duplicate pages. Make sure important blanks are completed unless the form specifically requires information to be added during the session. Use a clean PDF when possible. Scans should be upright, clear, and complete. Dark shadows, cut edges, and handwritten notes can make a document difficult to review. Give the file a simple name that distinguishes it from drafts. Step 3: Identify the Notarial Act Common acts include an acknowledgment and a jurat. With an acknowledgment, the signer confirms that a signature is voluntary. With a jurat, the signer signs and swears or affirms that the statements are true. The exact procedure and wording are governed by the notary’s commission and the document. The receiving party or document preparer should indicate what is needed. If the document already includes certificate wording, leave it intact. If it does not, obtain appropriate guidance before the meeting. The notary can explain available acts but cannot make a legal choice for the signer. Step 4: Prepare Identification Review the platform’s current identification instructions. Prepare an accepted, current government issued identification document. Make sure the name on your ID matches the name on your document. If the identification recently expired, is damaged, or uses a former name, resolve the issue before joining. BlueNotary uses that its process can use credential evaluation with knowledge based identification or biometric scanning. Complete prompts yourself and do not ask another person to answer verification questions. Answer every question yourself. Even a spouse helping can stop the session. Step 5: Arrange Signers and Witnesses List every signer and determine whether each person must attend. If witnesses are required, confirm who may serve, whether they need identification, and how they will join. A witness is different from the commissioned notary and may have a separate role under the document. Coordinate timing before the session. A platform may offer witness options, but availability and document rules should be checked in advance. Don’t assume a family member or coworker can be your witness. They may not qualify. Step 6: Test the Device Use a supported device with a camera and microphone. Test both, check the internet connection, and charge the device. Choose a quiet, well lit location with enough privacy to discuss the document. Keep the identification and final file within reach. Close bandwidth heavy applications and allow the browser permissions needed for video and audio. If the document has many pages, a larger screen can make review easier. Join a few minutes early so you have time to fix any tech glitches. Step 7: Complete and Store the File During the live meeting, follow the notary’s directions. Sign or acknowledge as required. After the notary completes the certificate and electronic seal, download the finished document and confirm that it opens correctly. Save the file in a secure location with a clear name. Don’t edit the file afterward, not even to fix a typo. Deliver the exact completed version by the method requested. Keep confirmation of delivery when the document is connected to a deadline. Prepare for a Smooth Video Meeting Position the camera so the signer’s face is visible and the microphone can capture clear speech. Avoid bright windows behind the signer. Keep the room private and remove distractions. The notary may need the signer to show identification or respond to questions without assistance from someone off camera. Open the final file before joining and close unrelated documents. Keep any recipient instructions nearby. If another signer or witness will join, confirm that person has the correct time and access information. Everyone should know their role before the session starts, not during it. Allow enough time to read before signing. Digital access can be fast, but the signer should not be rushed through material that deserves attention. A careful session protects the quality of the completed document. Run a Final Check Before Opening the Session Once the session starts, follow the commissioned notary’s directions and ask procedural questions when needed. After completion, download the file and make sure it opens before leaving the platform. Place the accepted identification within reach, connect the device to power, and test the camera and microphone. Confirm that required signers and witnesses have the correct joining details. A short final check keeps the live meeting focused on the notarial act instead of preventable administrative problems. Open the exact file you plan to upload and compare it with the recipient’s instructions. Confirm the signer’s name, the number of pages, every required attachment, and the location of the signature fields. This is also the time to make sure the signer has not added a signature early. Preparation Timeline Checkpoint What to Confirm Before choosing a provider Confirm acceptance and document requirements Before uploading Review the final file and participants Before joining Prepare identification and test the device During the meeting Follow the notary’s procedural directions After completion Download, review, store, and deliver Complete the Preparation Before You Join A smooth session begins with a complete file, the required participants, accepted identification, and a working device. When the document is eligible, BlueNotary offers online notarization with live access to a commissioned notary and a completed file available for download. Frequently Asked Questions Q1. What file format should I use? Follow the platform instructions. A clear and complete PDF is commonly practical because page order and appearance are easier to preserve. Q2. Can I leave blanks in the document? Avoid important blanks unless the form requires completion during the session. Ask the recipient or document preparer when uncertain. Q3. What is the difference between a signer and a witness? The signer executes or acknowledges the document. A witness observes or performs another role required by the document. The notary is a separate commissioned official. Q4. Can the notary select the certificate for me? A notary can explain available acts but generally cannot choose a legal outcome for the signer. Obtain direction from the recipient or counsel. Q5. What happens if identity verification fails? Your session usually can’t continue until your identity is confirmed. Review current requirements and contact platform support for the appropriate next step. Q6. Should I edit the file after notarization? No. Editing a completed file can undermine confidence in the notarized document. Correct errors through the proper process instead.
